What gets indexed
- Items (task names and descriptions)
- Column values (custom fields, dates, statuses, people, etc.)
- Updates (comments on items)
- Item metadata (board, group, workspace, creator, subscribers)
Boards and groups are not independently searchable—they appear as metadata on items.
Setup

Connect to Grapevine
- In Grapevine, go to Integrations and click on Monday.com
- Click Connect Monday.com Account to begin the authorization process

Authorize connection
- You’ll be redirected to Monday.com to authorize the Grapevine integration
- Review the requested permissions
- Click Allow to grant access
You need admin permissions on your Monday.com account to authorize the integration.

Indexing begins
You’ll be redirected back to Grapevine and the connection will be saved automatically. Grapevine will begin indexing your Monday.com items. The initial sync may take time depending on the number of boards and items in your workspaces.
Permissions
- Only public boards are indexed (private and shareable boards are excluded)
- All indexed items are visible to all users in the Grapevine tenant
- Admin permissions required for initial setup
Sync behavior
The initial indexing processes all accessible boards and items. For large accounts with many boards, the sync may take some time. Ongoing syncs use the Activity Logs API for efficient incremental updates.
- Initial sync - Begins automatically after authorization, indexes all boards and items
- Ongoing syncs - Runs periodically using Activity Logs to capture incremental changes
- Deletions - Deleted and archived items are automatically removed from the index
Limitations
- Private and shareable boards are not indexed (only public boards)
- Attachments are not indexed (only item content and column values)
- Archived items are removed from the index
- Item updates follow the sync schedule, so changes in Monday.com may not appear in Grapevine immediately
